Building Your Library

Your Library quality directly affects response quality. Here’s how to build an effective knowledge base.

Start with High-Value Content

Upload documents that answer common RFP questions:
  1. Past winning proposals - These contain proven, polished answers
  2. Security and compliance docs - SOC 2 reports, policies, certifications
  3. Product documentation - Features, specifications, capabilities
  4. Company overview - Mission, history, differentiators

Organize by Source

Create separate sources for different content types:
  • Compliance - Security policies, audit reports, certifications
  • Product - Features, roadmap, technical specs
  • Company - About us, leadership, case studies
  • Sales - Past proposals, pricing, terms
This makes it easier to whitelist specific sources per project.

Common Pitfalls to Avoid

Don’t upload duplicate versions. If you have “Security Policy v1” and “Security Policy v2”, only upload the latest. Duplicates confuse the AI and dilute response quality.
  • Outdated content - Remove old versions when you upload updates
  • Conflicting information - If two documents say different things, the AI may cite either
  • Irrelevant content - Marketing fluff with no substance won’t help RFP responses
  • Password-protected files - The AI can’t read encrypted PDFs

Access Control

When sharing a Library source, you can choose between role-based access (the user’s role determines what they can do) or custom access (you assign a specific access level like Read, Write, or Approve). Custom access grants override role permissions for that particular source.

Limitations

  • Maximum file size: 4.5MB per file
  • ZIP files extract up to 50 files
  • Very large documents may take longer to process
  • Image text extraction depends on image quality
